Client Intake Specialist
We are currently seeking a Client Intake Specialist to join our team. In this role, you will be responsible for managing and prioritizing daily intake on a particular high volume client file. This role is the first point of contact for telephone calls, voicemail messages and emails, and is expected to respond promptly, professionally and accurately. The Client Intake Specialist records information, completes initial conflict searches, gathers relevant documents, and provides the intake package to the appropriate lawyer for review and direction. The position also includes direct client portal work, including downloading documents from the client portal and uploading firm documents back into the portal. This role requires strong organization, attention to detail and the ability to manage a client relationship that may involve up to 500 new files per year.
This is a permanent, full-time position, working 37.5 hours per week, Monday through Friday from 7:00 a.m. to 3:30 p.m. MST. The Client Intake Specialist will report directly to the Managing Director and may take direction from the responsible lawyer on the particular client file.
Key Responsibilities
- Prioritize the particular client file each day and remain available to respond to intake inquiries as they arise.
- Answer telephone calls when they ring whenever possible, monitor voicemail, and respond to voicemail messages and emails within 30 minutes.
- Complete client intake forms and ensure that all necessary information is documented clearly and accurately.
- Run conflict searches based on the client intake information received and escalate any potential issues promptly.
- Summarize and pass all intake information to the responsible lawyer in a timely and organized way.
- Pull documents directly from the client portal, save and organize them in accordance with firm procedures, and upload firm documents into the client portal as required.
- Assist with billing.
- Occasional assistance/backup to other teams, as needed.
Education & Experience Required
- High School Diploma.
- Post-secondary education or experience in administration, legal administration, client service or a related field.
- Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
- Experience working in a law firm or other professional services environment.
- Experience with client intake systems, document management systems, client portals, or legal practice management software would be an asset.
- Some knowledge of medical terminology would be an asset.

Accounting Clerk
We are currently seeking an Accounting Clerk to join our Accounting team. In this role, you will support the firm's day-to-day financial operations by performing a variety of accounting and administrative functions that contribute to the accuracy and efficiency of the department. This role performs a variety of accounting and administrative functions, including accounts payable, accounts receivable, expense processing, payment reconciliation, trust accounting support, and general clerical duties.
This is a permanent, full-time position, working 35 hours per week, Monday through Friday, during the firm's regular business hours of 8:00 a.m. to 5:00 p.m. The Accounting Clerk will report directly to the Senior Accounting Analyst.
Key Responsibilities
- Processing and reconciling payable invoices and expense reimbursements, ensuring accuracy and compliance with internal policies and procedures.
- Allocating and posting incoming account payments received by cheque, credit card, and various forms of electronic payment.
- Receiving and processing staff requests for corporate credit card use, and monitoring and reconciling credit card accounts.
- Allocating and posting incoming trust funds, ensuring compliance with internal policies, the Rules of the Law Society of Alberta, and Canada Revenue Agency requirements.
- Assisting and supporting legal assistants with billing (including eBilling), reporting needs, and related accounting inquiries.
- Providing support to the Accounting team and other teams, including occasional assistance and backup support as needed.
- Performing other related duties and participating in special projects, as required.
Education & Experience Required
- Post-secondary certificate or diploma in Accounting, Bookkeeping, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
- Experience with finance, billing, and document management systems considered an asset.
- Experience working in a law firm or other professional services environment considered an asset.

JSS Barristers is committed to providing a comfortable, enjoyable and rewarding learning environment for our 2L Summer Students. From their very first day, students will be given the opportunity to work on interesting litigation files that will allow them to apply their law school education to real practice scenarios.
Over the course of the summer term, the students will have the opportunity to participate in:
